This was a summary of that meeting cobbled together by Paul M and Ben G. A map will be draw to show the proposed position of the events. Though this isn't meant to be a deffinitive plan yet, it should become so. Everyone involved in the event should read and absorb the contents.

Overall Content Available

What we have is 3 elements that we can be sure we can produce on the day
1. Audio Stream 2. video Stream 3. stalls

and some that should turn up for the day

1. the arrival of the cube skate team 2. laptops and pda fun, streaming wireless video 3. VOIP - set up and working on laptops and desktops

We can only advertise what we can be sure of, so the first three must be the ones to advertise. I we advertise what then doesn't happen. It was noted that the LAN gaming was not feasible with our current level of support, hardware and so on. We certainly can't advertise it.

Events

There will be three structured events on the day
  • A presentation to funders
  • An opportunity to participate in live streamed vidio
  • An opportunity to participate in live streamed audio
  • A cinema session

We suggest these be ordered as follows with the presentations to funders being an event exclusive to funders and press and the public invited to the other parts later.

Scheduled Events

10:45 Doors open to funders and press 11:00-12:00 presentation to the funders 12:00 break and Q&A and refreshments for funders and press 12:30 Doors open to the public 13:00-14:30 Be on the radio live 13:00-14:30 Be on the TV live 15:00-17:00 Cinema - showing of media in the Main hall 18:00 Doors close to the public, but install fest allowed to carry on until 20:00, which is total clear up time. 20:00 pub

All day things

Video will be streamed all day on a low bandwidth channel in addition to the live stream content. Radio streaming will be on all day, sometimes on preselected tracks and sometimes on the live content which will be created. Throughout the day there should be people with PDA's an laptops connecting to the streams. Hopefully some of these will be outdoors to show some range of the signal and free standing possibilities.

Additional stream showing

The video wall in the main block, a demo laptop on the BW stall will show video streams, the radio broadcast will be streamed in the reception during the whole event. We hope to repeat some of this at the Chelsea.

EVENTS DETAILS

presentation to the funders (11:00-12:00)

  • some example content streamed live Channel Zero short and interviews
  • live link up with Matt and Cristian outside with roving wireless camera (be good to have VOIP communications with then to initiate contact).
  • verbal presentation with slide show, and/or demo films of BW putting up antennas in the background
  • live radio stream demonstrated

Be on the radio live (13:00-2:30)

  • the studio will be manned, and there will be an opportunity for punters to come up and be interviewed on the radio

Be on the TV live (13:00-2:30)

  • the TV will operate and people can have a chance to video mix and hopefully stream the result

Cinema - showing of media in the Main hall (15:00-17:00)

  • This should hopefully be streamed from the cube, but this needs arrangeing. Showing local footage would be fine.

JOBS TO BE DONE

Stage Manager

Make sure the whole thing is working, get asked if things are going wrong. Trys to sort everything out.

Pre-reqs: Needs to know the whole event in rough detail. Duration: all day

Radio Studio Manager

Sets up and implements radio studio and looks after it.

Pre-reqs: well, it's Tall Paul, so no need to allocate

Duration: all day until 3:00

Press Worker

Deals with the press. Button holes press at event. Get press to go to the event. Releases press releases to press and follows them up.

Pre-Reqs: free time, charm

Duration: from NOW until 12:30 on the day

Funders Worker

Deals with the funders. Button holes funders at event. Get funders to go to the event. Releases event notification to funders and organizations. Follow it up.

Duration: from NOW until 12:30 on the day

Stall Sitters

For the Bristol Wireless stall.

Pre-reqs: ability to sit still

Duration: 12:30-17:00

Presenter

To present the stuff to funders and press on the day, stand infront of audience and present different streams and media sources for the media presentation.

Pre-Reqs: where a suit. Be Sean Kenny.

Duration: 10:00(setup)-12:30

Techies

A number of techies are neede for the day, here is a description of their roles
1. in the hall to do the stream material onto the projector, connect with Matt's live roving stream, Paul's radio broadcast and with the looped archive footage. (11:00-12:30) 2. in the hall cinema session techie. get the streams on the screen. (3:00-5:00) 3. video wall techie. Get streams or local films onto the video wall. This should hopefully mirror the content of the main hall to some extent. (all day - but hopefully maintenance). 4. Audio Techy. Sort out a radio broadcast for the foyer area and in the main hall.

Install Fest Supervisor

Sorts out the install fest at the back of the main hall helps out, not that technical a role really. Sorts out the area and makes sure it's secure.

All these roles need to be decided before the day. A press worker and funders worker needs to be found NOW.

Well done Ben! this is really something to get working with! I think we need to think about a few things. The way we bill the event for one, if we set up a schedule, we have to know we can keep to it...

TIMESCALE?.... we need as much time as poss time to set up. Early start. Doors open a bit later say at 12.00 with 1, 1/2 hrs for press/funders, include refreshments in this section AND giveaway of computers (photo op) All the rest much as above, but maybe finishing earlier say at 17:00. Thats still 5 hours!

ELEMENTS?...another way of dividing these up?

Sideshows/Stalls...

Videowall - (this would require buying £100 worth of video cards). but we could have 9x21"monitors (apparantly) It could look fantastic and demonstrate that we are into other artistic uses of technology.

802.11 Display stand - with material about the hardware, airstations, cards, cantennas, nodes, coverage, etc .Aerial install videos - if Christian can give us a VHS, we could run these on a monitor as part of this display.

Website Display - to feature the website perhaps, maybe projected.

CAFE? couple of networked computers connecting to internet (perhaps cafe style??)

Is it possible to 'fly in' an audio stream from outside at some time?? (with a jumpy webcam stream even??)

ian's contrubtion

Paul, Sean, Rich & Ian went through Ben's Fest plan and came up with an outline version which should help define how we advertise (flyer/poster and advance press release) Note times have changed and new elements added.

Rich has spoken to Shu Lea (Richair2030) and the cube skate team element is ON.

The video stream from the Cube Cinema is not confirmed, the crosstown wireless link not yet in place and as yet there has been no confirmation from the Cube. Therefore we can not advertise this element at present. There will be a round table discussion on free networks later in the afternoon. A posse from Consume London will be taking part in this.
